Keep identity separate from performance

A specification identifies product and lot controls; it does not guarantee every wastewater result. Pair molecular or viscosity indicators, ionic character, moisture or active basis and dissolution guidance with a representative application trial.

Use clear product codes so sample, quotation, documents and shipment cannot be confused.

Compare methods, not numbers alone

Ask how ionic character, viscosity or molecular indicator, particle size and moisture are measured. Values from different methods or conditions may not be directly comparable. Record units and test conditions beside every limit.

Define which fields belong on the COA and which are application evidence from the approved trial.

Verify handling and documents

Request current SDS, TDS, sample identification, packaging details and storage guidance. Review powder dust, slip hazard, moisture protection, bag integrity and make-down compatibility. Confirm required language and destination documentation before shipment.

Retain an approved sample and preparation record for later lot comparison.

Calculate delivered treatment cost

Convert price, active basis and dose into cost per treated volume or dry solids. Add coagulant changes, throughput, cake disposal, filtrate load, freight, packaging and handling. A lower price per tonne can be more expensive in the process.

Use the same verified feed and equipment endpoints when comparing suppliers.

Build a complete RFQ

Include application, solids and water data, current chemistry, separator, dose basis, measured target, sample quantity, expected monthly demand, packaging, destination and required documents. State the decision schedule and trial method.

Commercial release should preserve sample-to-shipment traceability and an agreed response if lot controls fall outside specification.

Qualify sample-to-shipment continuity

Ask the supplier to identify how the evaluated sample connects to the quoted product and later shipment. Preserve product code, sample lot, manufacture or release identifier and retained sample. If the commercial grade changes, repeat the application check rather than assuming an equivalent descriptive name produces the same result.

Set an internal approval period and define which feed or equipment changes require rescreening. Technical qualification is a controlled state, not a permanent universal endorsement.

Compare logistics without hiding technical risk

Freight mode, palletization, bag protection, lead time, minimum order and storage space affect delivered cost. Moisture damage, torn bags or long storage can also affect handling and make-down reliability. Include these factors beside active dose and process performance instead of selecting solely on ex-works price.

A complete quotation comparison lists currency, trade term, package, net quantity, documents, destination and validity. Keep technical exceptions visible so a low commercial total does not conceal an untested substitution.

Define acceptance and change control

State which identity fields, documents and packaging conditions are checked on receipt and who can release a lot for use. If a COA value, bag, product code or preparation behavior differs from the approved record, quarantine the decision and obtain method-aware clarification before plant dosing.

Agree how specification revisions and product substitutions are communicated. A documented change-control path protects sample-to-shipment continuity without claiming that ordinary lot variation can never occur.
